Our Position on AI

At Catalyst Enablement Group, we believe technology should strengthen what it cannot replace: human connection. Artificial intelligence, used thoughtfully, allows people to practise more deeply, receive feedback more personally and build capability with greater confidence. Our goal is to help people grow in ways that feel real and human, not mechanical or artificial.

Our Values

Our approach to AI is grounded in three core values:

  • Safety. Every learner deserves a psychologically safe environment. Our AI tools are designed and monitored to uphold dignity, respect and confidentiality.
  • Depth. We use AI to deepen reflection, empathy and authentic communication. Not to replace human interaction, but to create more opportunities for meaningful practice.
  • Ownership. We are transparent and accountable for how we use AI and the choices it influences. Participants are always informed when AI tools are being used.

How We Use AI

Our qualified practitioners lead the delivery of all assessment reports, development recommendations and learning programs. We use artificial intelligence as an assistive tool within this process. AI may generate first drafts of reports, session outlines and development content, and provide supporting analysis. Every output is reviewed, edited and finalised by our practitioners before it reaches a participant or client.

AI supports several of our services:

  • KBN 360 report generation. The Known By Name platform uses AI to generate draft development reports based on aggregated assessment data. Only aggregated scores, the participant’s first name and their role context are sent to AI providers. Individual reviewer identities are never disclosed to any AI provider or included in any AI-generated output. All AI-generated draft reports are reviewed, edited and finalised by a qualified practitioner before being released to the participant. The practitioner applies professional judgement and may substantially revise, supplement or override AI-generated content.
  • Learning design and insights. We use AI to analyse patterns in anonymised learning data to improve program design and impact. No individual participant is identifiable in this analysis.
  • Session preparation and content development. Our practitioners use AI to generate first drafts of session outlines, coaching preparation materials and development content. All materials are reviewed, edited and finalised by the practitioner before use.

AI-Powered Practice Simulations

Certain Catalyst learning programs incorporate AI-powered practice simulations, including voice-based role-play exercises. Our qualified practitioners design, test and facilitate all AI-powered practice activities. AI is used as an assistive tool within these sessions. It does not replace human judgement or professional advice.

These simulations allow participants to practise real workplace conversations in a safe, controlled environment before applying those skills with real people.

What participants should expect

In an AI simulation, the participant interacts with an AI-generated character that plays a specific role within a designed scenario. The AI character is not a real person. All scenarios are designed by experienced learning designers and are purpose-built to practise specific skills, such as sales conversations, delivering feedback, coaching discussions or handling difficult interactions. The AI responds in real time based on the participant’s input, creating a dynamic and realistic practice experience.

Participant consent and control

  • Participants are always informed before an AI simulation begins. No participant is placed into an AI interaction without their knowledge.
  • Participants may opt out of AI simulations at any time. Where an alternative facilitated practice option is available, it will be offered.
  • Virtual sessions incorporating AI simulations may be recorded by Catalyst for program delivery, quality assurance or participant reference purposes. Catalyst will provide prior notice before recording any session. Participants who do not wish to be recorded may notify the facilitator at the start of the session. Any recorded session data is handled in accordance with our Privacy Policy.

Limitations of AI simulations

  • AI characters may occasionally respond in unexpected, repetitive or imperfect ways. This is a known limitation of large language model technology.
  • AI simulations are a practice tool. They are designed to build confidence and skill through repetition in a low-stakes environment. They do not replace real human interaction, mentorship or professional judgement.
  • Feedback generated during a simulation is a learning aid, not a formal assessment. It should be interpreted within the broader context of the program and discussed with a facilitator where appropriate.

Data handling for simulations

  • Participant inputs during AI simulations are processed in real time via secure API connections to generate responses and feedback.
  • Session transcripts and related data are retained as part of the participant’s account and follow the same retention schedule described in our Privacy Policy (archive at 6 months of inactivity, anonymise at 12 months).
  • Simulation data is not used to train or fine-tune AI models. We select AI providers whose data processing terms explicitly prohibit the use of customer data for model training.
  • Where simulation data is reviewed for quality improvement, it is accessed only by authorised Catalyst personnel and is treated as confidential.

Accuracy and Limitations

AI-generated content, including assessment reports, development recommendations, practice simulation responses and real-time feedback, may occasionally contain inaccuracies, generalisations or statements that do not fully reflect a participant’s specific context. This is an inherent characteristic of large language model technology, where the AI generates content based on patterns rather than lived understanding.

We manage this through the following safeguards:

  • All KBN 360 assessment reports are reviewed, edited and finalised by a qualified practitioner before release to the participant. The practitioner checks for accuracy, relevance and tone and may substantially revise, supplement or override AI-generated content.
  • AI simulation scenarios are designed by experienced learning designers and reviewed for appropriateness, bias and factual accuracy before deployment.
  • Participants are encouraged to discuss any AI-generated feedback with their facilitator or coach to ensure it is interpreted accurately and meaningfully.
  • We regularly review AI outputs for quality, consistency and alignment with our values and methodology.

Catalyst does not warrant that AI-generated content is error-free, and AI output should not be treated as definitive professional advice. It is a developmental aid, designed to support learning and self-reflection within the structured context of our programs.

Our Data Commitments

We take data ethics seriously. Our specific commitments:

  • Participants are always informed when AI tools are being used in a learning experience.
  • Data processed by AI systems is transmitted via secure API connections. Our AI providers do not use Catalyst data to train or fine-tune their models.
  • Session transcripts and related data follow the retention schedule described in our Privacy Policy. Participants may request deletion of their data at any time.
  • No personal data is sold. No automated decisions with legal or similarly significant effects are made solely by AI. AI output is advisory and informational only.
  • Where AI processing involves data transfer outside Australia, we ensure equivalent data protection standards are applied, consistent with the Australian Privacy Principles. Full details of our AI providers and data processing arrangements are set out in our Privacy Policy.

AI Provider Selection

We select AI providers based on their data security practices, privacy policies and suitability for the task. All AI providers we work with are held to the same standards:

  • Secure API connections with encryption in transit.
  • No use of Catalyst or participant data for model training.
  • Compliance with data protection standards equivalent to the Australian Privacy Principles.
  • Contractual terms that protect participant data.

We may use multiple AI providers across different parts of our services. Current providers include Anthropic, PBC (Claude), OpenAI, Inc. and Google LLC (Gemini). The specific providers we use and the data shared with each are disclosed in our Privacy Policy, which is updated whenever our provider arrangements change.

Human Oversight

AI is an assistive tool, not a substitute for human judgement, empathy or connection. Our practitioners and participants retain full agency in every learning experience. Our qualified practitioners review, edit and finalise all AI-generated content before it reaches participants. AI simulation scenarios are designed and tested by experienced learning designers before deployment. Participants are encouraged to discuss AI-generated feedback with their facilitator or coach, and may opt out of AI-powered activities at any time.

Continuous Improvement

We review our AI practices regularly and update this statement as our approach develops. We monitor developments in AI ethics, regulation and technology to ensure our practices remain responsible and effective.
